Cloud Migration Checklist for Dubai Businesses

Moving your business infrastructure to the cloud is not a single event — it is a project that requires planning, sequencing, and the right expertise. Whether you are moving from on-premise servers to Microsoft Azure, migrating email to Microsoft 365, or shifting file storage to SharePoint, this checklist covers what every Dubai SME should do before, during, and after migration.

Before You Migrate

1. Audit Your Current Infrastructure

Document everything you have: servers, applications, number of users, data volumes, and any custom configurations. You cannot plan a migration without knowing exactly what you are moving.

2. Define What "Cloud" Means for Your Business

Cloud is not one thing. Clarify which workloads you are moving:

Email only (Microsoft 365 Exchange)
File storage (SharePoint, OneDrive)
Line-of-business applications (ERP, CRM, accounting)
Full server infrastructure (Azure IaaS)

Each has a different migration approach, timeline, and cost.

3. Check Your Internet Connection

Cloud-dependent infrastructure requires a reliable, fast internet connection. If your office is running on a basic 50Mbps line shared by 30 users, you will have problems. Get a dedicated business fibre line if you do not already have one. In Dubai, Etisalat (e&) and Du both offer business-grade options.

4. Identify Compliance Requirements

Some UAE businesses — particularly in financial services, healthcare, and government supply chains — have data residency requirements. Confirm whether your data must remain in UAE data centres. Microsoft Azure has UAE North and UAE Central regions in Abu Dhabi and Dubai respectively.

5. Plan User Training

The biggest migration failures are not technical — they are human. Users who do not understand the new system create helpdesk tickets, workarounds, and security risks. Plan at least one training session before go-live.

During Migration

6. Migrate in Phases

Never migrate everything at once. A recommended sequence:

Email (Microsoft 365 Exchange) — lowest risk, high immediate value
File storage (SharePoint/OneDrive) — medium complexity
Applications — highest complexity, plan carefully
Servers — last, only if needed

7. Run Parallel Systems

Keep your old system running alongside the new one during the transition period. For email, this typically means a hybrid period where both on-premise Exchange and Microsoft 365 are active. This ensures nothing is lost if something goes wrong.

8. Migrate During Low-Traffic Periods

Schedule major cutovers for Thursday evening or Friday in the UAE, when business activity is lowest. This gives you the weekend to resolve any issues before Monday morning.

9. Test Before Cutting Over

Before you tell users to switch, test everything:

Send and receive email from the new system
Confirm file access from OneDrive and SharePoint
Test application connectivity
Verify backup is running on the new platform

10. Communicate With Your Team

Send a clear, simple email to all staff before the cutover explaining what is changing, when it is happening, and who to contact if they have problems. Silence creates panic.

After Migration

11. Decommission Old Systems Carefully

Do not turn off old servers the day after migration. Keep them powered on but isolated for at least 30 days. Only decommission after you are confident nothing critical depends on them.

12. Set Up Monitoring and Backup

Cloud does not mean automatically backed up. Set up Microsoft 365 Backup or a third-party solution like Veeam for Microsoft 365. Configure Azure Monitor or similar for infrastructure workloads.

13. Review Licences and Costs

Cloud costs can grow quickly if unmanaged. After 30 days, review what you are actually using versus what you are paying for. Unused licences should be removed.

14. Document the New Environment

Update your IT documentation to reflect the new setup. This is critical for your IT provider and for any future changes.
